Cost-Per-Copy, Explained

"Cost-per-copy" (CPC, sometimes "cost-per-page") is the most common way copier service and supplies are priced — but quotes are easy to misread. Here's what's actually in a CPC rate and how to compare offers fairly.

What cost-per-copy includes

A CPC rate typically bundles toner, parts, and service labor into a single per-page price. You're charged for the pages you actually print. What it usually does not include is paper, and sometimes staples — always confirm.

How the rate is structured

  • Separate B/W and color rates: color pages cost several times more than black-and-white. A typical B/W page is a fraction of a cent to about a cent; color is higher.
  • Base + overage: many agreements include a monthly allowance of pages, then charge an overage rate beyond it.
  • Minimums: some contracts require a minimum monthly volume whether you hit it or not.

How to compare quotes fairly

  • Confirm what's included — toner, all parts, all service calls, and response time.
  • Watch for auto-escalators — clauses that raise your rate a set percentage every year.
  • Check how "color" is defined — some meters count any page with a speck of color as a full color click.
  • Match the minimums to your real volume so you're not paying for pages you don't print.
